Pinvoicer: /* How to Use */

About
The Graph Reports feature in PinvoiceR allows you to run a number of reports (eg gross margin, revenue, hours, etc) by division(s) over a variety of period options.

How to Use
From the main menu, click on the Reports > Sales> Graph Reports links. From here you are given a list of reports available - you can either select the one you want at this level, else in the following screen it is simple to switch between the report options.

The filter options are;

* Report Type: Choose which report you want to see
* Division(s): Select one (or more divisions)
* Period: Choose one of the three options

You can easily download the report tables into CSV (click the <kbd>CSV</kbd> or <kbd>Copy</kbd> buttons) or use the icon on the top right of each chart to download copies of the chart.

By Week Ending
Here the week endings that have been processed are listed, with the most recent week ending first.

You can select one or more weekendings to report on. The key thing to understand with weekending dates is that they may or may not correspond to when someone was paid/charged for.

For example - imagine a normal scenario where this actual week you are processing two timesheets - one for last week and the other from a week ending that happened 5 months ago. If you wanted to see both of these transactions in the report you would need to select both the weekending for last week and also the one from 5 months ago - even though both were processed in the same week.

By Period Number
Here the option is to report by period number and these will be specific to the financial year that your business uses.

For example, generally in Australia period number one is July and in New Zealand it is April.

This report will report on transactions that you select for one or more periods - irrespective of the weekending that the transaction was for. For example if in period 1 you processed pays for weekendings in July plus some where they were back pays for April - they would all be included when you report for period 1.

By Date Range
Here the option is to report by date range - is the date that the transaction was processed (in this case the date that the open batch was processed - also known as journal date). Depending on the date range you select, it may report on multiple periods.

The report will show by week number - ie this corresponds to the week number from the beginning of a calendar year. Like the By Period Number option, this report will report on transactions that you select for date range selected - irrespective of the weekending that the transaction was for.

Report Types
* Gross Profit - In Australia this is calculated as Revenue less Costs - ie the sum of (Wages, Superannuation, Workcover & Payroll Tax). In NZ it is calculated as Revenue less Costs - ie the sum of (Wages, ACC Levy, KiwiSaver Employer Contribution, Annual Leave accrual - where it is accrued).

* Gross Profit Per Hour - Calculated by total Gross Profit divided by the number of Hours. Note - Hours are determined by only counting those pay code items that are set as Hours and ignoring those that aren't.

* Gross Profit Per Timesheet Calculated by total Gross Profit divided by the number of Timesheets. Here we try to count timesheets by considering both manually entered hours, electronic timesheets and also imported hours. For example a person who worked 5 days in a week for one client (and submitted 5 timesheets - eg if they were doing daily timesheets) would be counted as 1 timesheet. Whereas, if the same person worked 5 days for 5 different clients they would be counted as 5 timesheets.

* Revenue - Total Temp Sales (ie this report does not cover non-temp/labour hire sales)

* Revenue per Hour - Total Revenue divided by the number of Hours (see definition for Hours above)

* Revenue per Timesheet - Total Revenue divided by the Number of Timesheets (see definition for Number of Timesheets above)

* Number of Timesheets (see definition for Number of Timesheets above)

* Hours per Timesheet (see definitions of Hours and Timesheets above)

Report Types
* Gross Profit - In Australia this is calculated as Revenue less Costs - ie the sum of (Wages, Superannuation, Workcover & Payroll Tax). In NZ it is calculated as Revenue less Costs - ie the sum of (Wages, ACC Levy, KiwiSaver Employer Contribution, Annual Leave accrual (where it is accrued).

How to Use
From the main menu, click on the Reports > Sales> Graph Reports links. From here you are given a list of reports available - you can either select the one you want at this level, else in the following screen it is simple to switch between the report options.

The filter options are;

* Report Type: Choose which report you want to see
* Division(s): Select one (or more divisions)
* Period: Choose one of the three options

By Week Ending
Here the week endings that have been processed are listed, with the most recent week ending first.

You can select one or more weekendings to report on. The key thing to understand with weekending dates is that they may or may not correspond to when someone was paid/charged for.

For example - imagine a normal scenario where this actual week you are processing two timesheets - one for last week and the other from a week ending that happened 5 months ago. If you wanted to see both of these transactions in the report you would need to select both the weekending for last week and also the one from 5 months ago - even though both were processed in the same week.

About
The Graph Reports feature in PinvoiceR allows you to run a number of reports (eg gross margin, revenue, hours, etc) by division(s) over a variety of period options.

How to Use
From the main menu, click on the Reports > Sales> Graph Reports links. From here you are given a list of reports available - you can either select the one you want at this level, else in the following screen it is simple to switch between the report options.

The filter options are;

* Report Type: Choose which report you want to see
* Division(s): Select one (or more divisions)
* Period: Choose one of the three options

====By Week Ending===

Here the week endings that have been processed are listed, with the most recent week ending first. You can select one or more weekendings to report on. The key thing to understand with weekending dates is that they may or may not correspond to when someone was pad/charged for.

About
In the AU version of PinvoiceR there is a back pay process that will automatically calculate back pays (and back charges) for people/clients who have had rate changes.

How to Use
This functionality builds on the Schedule Rate Changes process in PinvoiceR and allows clients to back date a rate change and then automatically find those clients/employees affected.

The first step is to schedule a rate change and in the case it is from an earlier date (eg you are advised today of a rate change that is effective from 3 months ago) you then click on Back Pay Batches from the main menu.

Then click the <kbd>Add Backpays</kbd> button to search for the client and employees affected.

From there you will see a report of the people affected and you can decide what columns you want in the report by clicking on the <kbd>Column Visibility</kbd> button at the bottom of the report. Clients will generally use this information and download into CSV format to then review before going to the next stage.

Then Select the relevant rows (eg click the <kbd>Select All</kbd> or <kbd>Select Filtered</kbd> buttons) and then the <kbd>Add Backpays</kbd> button. This will then show you the list of all of the transaction rows that will be created - should you wish to proceed to process the backpays.

From here, scroll to the bottom and;

* Select the relevant rows (eg Select All or Select Filtered)
* change the period end date (if necessary - ie it will default to the next sunday)
* select No Charge - if doing paus only
* select No Pay - if doing charges only
* Click the <kbd>Create backpay transactions</kbd> button

Then from the main menus click on Backpay Batches - to see the pay batch and process.

It is possible to automatically update pay and charge rates (Pay Codes) on a specific date.

This can be useful in managing timelines when you know in advance that a pay rate is going to change and yet do not have enough time between last using the existing pay rate and running the next payroll.

How to Use
To do this - select the relevant pay code (edit) and click on the <kbd>Schedule rates change</kbd> button;

Once you have clicked on the <kbd>Schedule rate change</kbd> button you will see a form showing all the existing rates (pay code items) for that pay code. Enter in the date that you want the new rates to be effective from and update the new pay and charge rate information.

There is the ability to use the +/- percentage entry box and this will automatically calculate the increase (or decrease) in pay/charge rates based on the percentage that you enter. For example, if you enter 3 then both the pay rate and the charge rate will be increased by 3%.

When you have set the new rates that you want, click the <kbd>Add Rate Versions</kbd> button.

Once a rate version has been added, then that new version will be used on or after the effective date that was set for the version. For example; if you set the effective date to be 20/10/2019 then when entering in hours it will use the old rates for hours entered for 19/10/2019 and the new rates for hours entered for 20/10/2019 onward - ie the date is the day that the person worked (not the date when you are entering the hours).

Where there is a new rate version being used (as hours are being entered) then this will clearly show on the hours entry screen. If you wish to revert to the old rates for those days then you would un-tick the Use rate version rates option;

Pinvoicer:

About
It is possible to automatically update pay and charge rates (Pay Codes) on a specific date.

This can be useful in managing timelines when you know in advance that a pay rate is going to change and yet do not have enough time between last using the existing pay rate and running the next payroll.

How to Schedule Rate Changes
To do this - select the relevant pay code (edit) and click on the <kbd>Schedule rates change</kbd> button;

Where there is a new rate version being used (as hours are being entered) then this will clearly show on the hours entry screen. If you wish to revert to the old rates for those days then you would un-tick the Use rate version rates option;

For customers using a front end system such as RecruitOnline - the new rates will be updated in that system and also the existing orders.

Import Rate Versions
It is also possible to bulk import Rate Versions and to do this click the <kbd>Add via CSV</kbd> button when looking at the schedule rate change screen. For clients wishing to do this, contact PinvoiceR support to get the required information for the existing rates in your PinvoiceR system so that you can make the necessary changes in a spreadsheet and have in an format so that they can be bulk imported.
After Tax Addition - New Zealand
For PinvoiceR New Zealand customers you are able to create an Addition instead of a Deduction.
Salary Sacrifice - AU
For Australian PinvoiceR users, if your employee wishes to have a Salary Sacrifice for Superannuation, use the specific <kbd>Salary Sacrifice</kbd> tab on their employee record. NOTE: this specific type of Deduction can not be restricted to "once per pay pay", i.e. if the employee is paid twice in a period then this deduction will come off their pay twice. The ability to limit this will be added in a future release of PinvoiceR.
Additional Tax Payments
Some employees may request an additional tax deduction is made from each pay. The current method to manage this is to edit the Chart of Accounts (System -> Set Up -> Chart of Accounts Editor) and make the PAYG/PAYE GL Code a deduction account (so that it is available in the dropdown of GL Account Codes when adding a deduction). Then it is just a matter of adding a deduction (using the PAYG GL) for the extra tax - i.e the same process as any other deduction.

NB. This is a temporary method and there are some implications. Please contact PinvoiceR Support if you intend to use this for any employee.

STP (AU)
Within the STP data sent to the ATO is a field that identifies the software system providing it. It is called the BMS ID. If you move to a new payroll solution from the start of a financial year then this is not an issue as all reported employee income for the year will be reported via the same BMS ID. However, if you change payroll software during the financial year there is a potential problem:

* if you transfer the current YTD balances from your old system into the new one as "starting balances" it means your new system will have the correct YTD values for all reporting and for what will appear on the employees' payslips. Unfortunately, the first STP submission from the new system will include those YTD values for each employee and the ATO will then add those on to the values it already has for those employees. This is because it recognises a different BMS ID, hence another system in use, and keeps the information separate.

About
Open Batches are a list of transactions that have been entered for a period. Batches are grouped into Divisions and then by week ending.

Employees who have open transactions in multiple Divisions are also shown identified in the open batches screen.

The purpose of the Open Batches screen is to provide an opportunity for open transactions to be reviewed prior to them being written to the General Ledger, pays and invoices processed.

Pre-Payment Processing Reports
From the main menu click on <kbd>Payroll</kbd> and then select the <kbd>Open Batches</kbd> links.

This will list all of the Open Batches that need to be written to the General Ledger. Prior to finalising a batch it is prudent to run the relevant pre-payment processing reports to satisfy yourself that the hours, pay and charge information has been entered correctly.

To run a report - select the report that you want to run and click the <kbd>All Divisions (x employees)</kbd> button.

You can also choose to run a report for one or more divisions - by default all are selected.

When you click the button the relevant report is run.

Pay Report
The pay report produces a summary of each person that is included in the open batch, their gross pay, total costs, total charge, total margin and margin %. If you click on the "+" sign against a person's row then more detailed information is shown for that person. (You can also click the + Open all to view all.)

Other options include:

* Change the Report Type by selecting from the menu at the top right
* Click the <kbd>Pay report csv download</kbd> button to download
* Click the <kbd>Print</kbd> button to print

Below is an example of the report showing the GL (General Ledger) detail;

Client Charge Report
The Client Charge report shows the transactions in the batch grouped by Division and then Client and then by Employee. It shows the totals of the gross pays and the relevant charge rates for each employee.

Process Batch
Once you have confirmed that hours have been entered correctly you are ready to process the batch. From either of the Pay/Charge report screens it is as simple as clicking the <kbd>Process Batch</kbd> button - noting that you should make sure you are posting the batch to the correct accounting period.
eg in the instance that they have been loaned money for $1,000 of Tools and once they have paid it all back there are no further deductions needed - note for this to function you need to set Recalc to Yes</td></tr><tr><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;font-weight:bold;vertical-align:top">Recalc</td><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;vertical-align:top">This is used to adjust the outstanding balance of an owed deduction. Set it to yes and each time that a deduction is made it will adjust the balance owing to reflect the amount paid back and automatically cease deductions when the full total has been repaid. This process will also adjust the final payment amount - eg in the instance that the $/Pay is $100 and they only owe $10 then the deduction for the pay will be $10.</td></tr><tr><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;font-weight:bold;vertical-align:top">Threshold</td><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;vertical-align:top">Use this to set a threshold for gross wages so that deductions will only occur above that threshold</td></tr><tr><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;font-weight:bold;vertical-align:top">Order</td><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;vertical-align:top">This is used to order the added deduction tabs - set to 1 for first tab, 2 to second tab, etc</td></tr><tr><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;font-weight:bold;vertical-align:top">Delete</td><td style="font-family:Arial, sans-serif;font-size:14px;padding:10px 5px;border-style:solid;border-width:1px;overflow:hidden;word-break:normal;vertical-align:top">To remove the deduction - ie select the delete option and click the <kbd>Update Deductions</kbd> button</td></tr></table>
After Tax Addition - New Zealand
For PinvoiceR New Zealand customers you are able to create an Addition instead of a Deduction.

To do this - select the Addition option in the drop down Addition or Deduction field.

This will add an After Tax addition - eg you want to add in a weekly after tax allowance.

Salary Sacrifice - AU
For Australian PinvoiceR users, if your employee wishes to have a Salary Sacrifice for Superannuation, use the specific <kbd>Salary Sacrifice</kbd> tab on their employee record.
