The Employee Leave report is used to summarise Annual Leave, BAPS Leave & provisions for leave for an employee.

How to Use

From an employee's record, click on Leave Settings and then the Leave Report buttons.


Understanding the Employee Leave Report

The employee leave report is broken into a number of sections;

  • Annual Leave
  • BAPS (Bereavement, Alternative, Public Holiday, and Sick) Leave
  • Annual Leave Provision Report
  • Sick Leave Provision Report
  • It also contains functions to manually add in leave balances



Annual Leave Report

This section specifically looks at annual leave for an employee;

The first part shows the accruals added (manually or at their anniversary date) and leave taken. Thing to remember is that leave is always expressed in weeks and not any other unit - per the legislation.

On an employee's anniversary date the system will automatically accrue 4 weeks of leave for them.

Below the summary it shows the following calculated information;

  • Balance Remaining - ie any weeks accrued, less any weeks taken
  • The estimated value in weeks that the employee has accrued since their last anniversary date (ie the leave accrual dollar amount(eg 8%) value expressed in weeks.
  • The date of the Last Yearly Accrual
  • The amount in dollars of the Annual Leave paid since last anniversary date
  • A section where weeks to accrue (either positive or negative) if adjusting an employee's leave balance



BAPS (Bereavement, Alternative, Public Holiday, and Sick) Leave Report


All employees are entitled to 5 days sick leave if:

  • they have six months’ current continuous employment with the same employer, or

they have worked for the employer for six months for:

    • an average of 10 hours per week, and
    • at least one hour in every week or 40 hours in every month.

For each 12-month period after meeting the above, each employee gets at least five days’ sick leave. If in any year the employee doesn’t meet the criteria, then they don’t get any new sick leave entitlement, but can use their sick leave balance which may have carried over. An employee may re-qualify for sick leave as soon as they meet the criteria.

Sick leave entitlements are not pro-rated in any way. For example, even if a part-time employee only works three days a week, they still get five days’ sick leave a year and can accumulate up to 20 sick days a year.


This section shows any leave accruals for the employee and leave taken. Use the relevant sections to manually add in (or deduct) BAPS Leave entitlements.

Annual Leave Provision Report

This report show the Annual Leave provided for (from a dollars perspective) and the value of any annual leave paid. The value is accrues at is set at the entity level (eg usually 8%) and is used to estimate the value of the leave owing to someone as they work.

Note - this value is always going to be an estimate as an employee may be accruing 8% of their earnings for a period of time but in the instance that they work past 12 months (and are entitled to 4 weeks leave) their 4 weeks leave will be paid at their relevant weekly rate which may be higher than the value accrued for that 12 months (eg they get a pay rise or their pattern of work changes - were working 4 days a week and now they work 5).

Sick Leave Provision Report

This report shows the value of Sick (and other BAPS) leave paid to the employee.
